Booking a Holiday
Please print out the Booking Form, complete it, sign it and send it to Langdale Walking & Adventure Holidays together with the appropriate deposit and, if applicable, insurance premium. Payment should be made in full if you make a reservation within ten weeks of the travel date.

Signing the Booking Form confirms your agreement to accept the Booking Conditions (see below) on behalf of the persons named.

We will confirm your booking by post including an invoice with the final balance due date. Please note that in order to reduce administrative costs, we do not normally send out reminders for you to pay the invoice.

Four weeks before departure all final documents will be sent along with flight tickets, if included, a recommended list of items to take with you and, if necessary, an updated itinerary.

Unless otherwise requested we book non-smoking rooms when available. We kindly request that smokers do not smoke in vehicles, at meal times or on walking trails.

Booking Conditions

Consumer Protection Civil Aviation Authority
All our holidays that include flights are protected through our Air Travel Organiser's Licence (ATOL) granted by the Civil Aviation Authority (CAA). The CAA checks our finances and requires us to arrange a bond, which ensures that you will be repatriated and/or refunded in the unlikely event of our insolvency. Our ATOL number is ATOL 5958. They will also arrange to refund any money you have paid us for an advance booking. For further information, visit the ATOL website at www.atol.org.uk.

Payment
You are requested to pay the final invoice in full by the date shown (not less than ten weeks prior to departure).

If your final payment is not made on time, we reserve the right to treat the booking as cancelled and to apply appropriate cancellation charges as shown below. This is to compensate us for the expense of processing your booking and for the risk that we may not be able to resell the holiday, and to cover payments that we would have made to airlines and agents.

We accept most major credit cards or cheque made payable to Langdale Walking & Adventure Holiday. Deposit payments can be made by credit or debit card free of charge. Balance payments can also be made by debit cards free of charge, but balance payments by credit cards will attract a 2% levy.

Cancellation
You may cancel your holiday at any time. It should be confirmed in writing by the person who signed the Booking Form.

Please note that deposits are non-returnable in the event of you or any member of your party cancelling the holiday. The amount of cancellation charges depends on when your written instructions are received, and charges are shown as a percentage of the total cost of the holiday (not including insurance premium) as follows:

Travel Insurance
It is a condition of every booking that you insure against all holiday risks. Such insurance should ensure that you are fully covered against unexpected cancellation charges, medical expenses arising abroad, loss of luggage, money or personal belongings and personal liability claims. We can provide you with holiday insurance at competitive prices and will send you details on request. We will require evidence of your insurance arrangements at least 10 weeks before departure if you make your own arrangements.

If you are a European citizen and travelling in Europe, it is recommended that you take a European Health Insurance Card (EHIC) with you. It is free to all UK residents but please note that it does not replace travel insurance. EHIC forms are available on request from your local post office or online at www.dh.gov.uk/travellers

Passport, Visas & Health
You are responsible for ensuring that you have a valid passport, relevant visa, and that you conform to the health regulations of the countries to be visited during the tour. Please consult your local medical centre regarding vaccinations and other precautions.

Liability
It is accepted that Langdale Walking and Adventure Holidays have a duty to ensure that holiday arrangements are provided as described in the brochure and delivered to a reasonable standard. We cannot, however be held responsible for any damage, loss or expense arising from war, threat of war, terrorist attack, natural disaster, civil unrest or industrial dispute.

In the event of political tension or a natural disaster, tours will only be cancelled on the advice of the Foreign & Commonwealth Office (FCO). Up to date information can be obtained from the FCO website www.fco.gov.uk. If we do cancel a holiday, for whatever reason, payments will be refunded in full.

Langdale Walking and Adventure Holidays will not accept liability for any injury, accident, sickness, damage, delay or any irregularity. Luggage and personal effects are at all times the clients risk.

When you travel with an air or sea carrier, the conditions of carriage of that carrier apply, some of which may limit or exclude liability. Air travel is also subject to operational decisions of air carriers and airports, which may result in delays or cancellation or in aircraft being diverted, over which we have no control.

We reserve the right to pass on any Government taxes or compulsory charges that may be introduced after the publication of the brochure or web page for each holiday.

Langdale Walking and Adventure Holidays holds indemnity insurance to cover the possibility of any claim, with a limit of £5,000,000 for terrorism, £2,000,000 for public products liability and £1,000,000 for professional liability.

Definition of Terrorism - Terrorism shall mean an act of any person acting on behalf of or in connection with the individual or organisation which carries out activities directed towards the overthrowing of influencing by force or violence of her majesty's government in the United Kingdom or any government de jure or de facto.

Organisation of Tours & Tour Leader
These escorted tours involve walking and adventurous activities. Most of the walks are neither easy nor difficult but a challenge, and are suitable for anyone who enjoys a reasonable level of fitness. You should be aware that the holidays can involve certain inherent risks and dangers associated with travel and walking in remote places which may have limited or no medical or rescue facilities. This reinforces the importance of correct holiday insurance.

Each holiday will have a Tour Leader, who has the right to disqualify any client at any time during the holiday, should he/she reasonably consider it to be necessary for the well-being or safety of the group as a whole, or due to a client's actions having an effect on the enjoyment of the tour for other members of the group. Appropriate medical advice will be taken if applicable and if available.

Alteration to the Tour
We reserve the right to modify the tour itinerary, travel arrangements and accommodation if affected by unforeseen circumstances beyond our control, and agree to keep you informed accordingly.

As our tours are planned well in advance, we reserve the option to make a surcharge in the event of currency fluctuation, increases in air fares or Government action.

Tours are costed based on a minimum number of passengers travelling together, and if this number is not reached we will either cancel the tour and give you a full refund, or alternatively, and with your prior consent, the tour will be operated below the minimum number but with the addition of a supplement.
